Data Deletion

1. Your Rights
At Aqili, we respect your right to control your personal data. Under applicable data protection laws — including the General Data Protection Regulation (GDPR), the California Consumer Privacy Act (CCPA), and other regional privacy frameworks — you have the right to request deletion of your personal data.
This page explains what data we store, how to request deletion, and what happens when your data is deleted.
2. What Data We Store
When you use the StreamSign platform, we store the following categories of data:
Account Data
- Name, email address, and hashed password
- Organization name and settings
- Role and permission assignments
- Profile preferences
Content Data
- Uploaded media files (images, videos, documents)
- Playlists, schedules, and layout configurations
- Widget configurations and template customizations
- AI-generated content (text, images, video)
Operational Data
- Player device registrations and health metrics
- Analytics, reporting, and playback records
- Audit logs (login events, content changes, admin actions)
- Integration tokens and webhook configurations
Billing Data
- Subscription plan and billing period
- Payment history (processed via Stripe — we do not store credit card numbers)
3. How to Request Deletion
You can request deletion of your data in two ways:
Option A: Self-Service Account Deletion
If your workspace includes an organization deletion workflow, administrators can use it to begin deletion of the organization and its associated data. Review the warnings inside the product before confirming any deletion action.
Option B: Email Request
Send a deletion request to privacy@aqili.ai from the email address associated with your account. Include:
- Your full name and account email
- Your organization name (if applicable)
- Whether you want individual account deletion or full organization deletion
- Any specific data categories you want deleted (or "all data")
4. Deletion Process & Timeline
Once we receive and verify your deletion request:
- Acknowledgment: We will confirm receipt of your request within 2 business days
- Verification: We may ask for identity verification to protect against unauthorized requests
- Processing: Data deletion is completed within 30 days of verification
- Confirmation: You will receive a confirmation email once deletion is complete
Important: Data deletion is permanent and irreversible. Once completed, we cannot recover your data. Please ensure you have exported any data you need before requesting deletion.
5. What Gets Deleted
Upon completion of your deletion request, the following data is permanently removed:
- Your user account and profile information
- All uploaded content and media files (from S3 storage)
- Playlists, schedules, layouts, and widget configurations
- Player registrations and device data
- Analytics, reporting, and playback records
- AI-generated content and AI agent task history
- Integration connections and webhook configurations
6. Data We May Retain
Certain data may be retained after deletion for limited purposes as required by law:
- Billing records: Transaction records may be retained for up to 7 years for tax and accounting compliance
- Legal obligations: Data subject to legal hold, litigation, or regulatory requirements
- Anonymized data: Aggregate, non-identifiable analytics data may be retained for service improvement
- Audit logs: Security-related logs may be retained for up to 12 months after deletion for fraud prevention
7. Third-Party Data
When you connect third-party integrations, those services may retain data independently. Deleting your StreamSign account removes integration tokens from our systems, but you should also revoke access from each third-party service's settings to ensure complete data removal.
